What is a rent roll?

A rent roll is a list of every unit you own or manage, with who lives there, what they pay, when their lease ends and whether they're paid up. It's the quickest snapshot of a rental portfolio.

In a little more detail

Owners use it to see income at a glance. Lenders and buyers ask for it when a property is being financed or sold, because it shows what the building actually earns.

A good rent roll includes vacant units too, so you can see how many are empty and what they would bring in if they were rented.

What a rent roll shows
  • Unit 1A · Sarah Chen · $1,450 a month · Lease ends 03/31 · Paid
  • Unit 1B · Vacant · Asking $1,400
  • Unit 2A · Marcus Hill · $1,525 a month · Lease ends 08/31 · $1,525 past due

Things to watch

  • Keep it current. An old rent roll gives the wrong picture.
  • Include vacant units and their asking rent.
  • Match it against what was actually deposited each month.

This is a plain-English explanation, not legal advice. Rules vary by state and city, so check your local law or talk to an attorney before you act on it.
