DigitalTenant's Mileage tracker lets you log property-related trips, calculate reimbursable amounts based on your rate per mile, and keep a running record for tax reporting. This guide walks you through creating a new mileage entry from start to finish.
Before You Start
- You must be logged into your DigitalTenant account.
- Have your trip details ready — start address, destination, date, and purpose.
- Know your reimbursement rate (the IRS standard mileage rate for 2025 is 70 cents per mile).
1. Click Create New
From your Dashboard, click the Create New button in the top-left corner of the sidebar. A menu will appear listing all the record types you can create.
2. Select Create New Mileage
From the Choose an Option menu, click Create New Mileage. This opens the mileage entry form.
3. Fill Out the Mileage Form
Complete the following fields:
- Business Name — Enter the business or property name this trip is associated with (e.g., ABC Property Management).
- Trip Date — Select the date the trip took place.
- Return Trip — Toggle this on if the trip included a return journey. This will automatically double the mileage calculation.
- Purpose — Describe the reason for the trip (e.g., "Routine check up – HVAC, Water heater and yard work"). This is important for tax documentation.
- Cents Per Mile — Enter your reimbursement rate in cents (e.g., 59).
- Miles — Enter the total miles driven.
- Amount — This calculates automatically based on your cents per mile and miles driven.
💡 The Amount field is read-only and updates automatically as you enter your miles and rate. You don't need to calculate it manually.
4. Click Save
Once all fields are filled in, click the Save button to log the trip. Click Back if you need to cancel without saving.
What Happens Next
After saving, you'll be taken to the Mileage dashboard where your new trip appears in the list. The summary cards at the top update automatically to reflect your running totals.
- Trips — Total number of trips logged.
- Miles Driven — Cumulative miles across all trips.
- Total Amount — Total reimbursable amount across all trips.
💡 Keep your Purpose field detailed and accurate. The IRS requires documentation of business purpose for mileage deductions — your entries here serve as that record.
